SAFE Haven volunteer roles

Team Leader SAFE HAVEN

Hours: 9.30 to 1.30pm. Minimum one morning per week

Main tasks:

  • Build a team ethos of responsibility and fun 
  • Assess the workload for the day including suites to clean, carriers to clean etc
  • Consult with the Day Manager to discuss any specific things to emphasise on the day
  • Prepare SAFE Haven for the arrival of the team & ensure they have what they need to clean eg fill bleach & F10 spray bottles according to guidelines, fill water bottles & watering cans 
  • Brief the team on the day’s tasks and highlight any areas of concern /pass on messages from the Day Manager
  • Organise team members to work together efficiently to cover all tasks associated with cleaning suites as well as whole of cattery/end of shift tasks 
  • Train new volunteers and mentor those on initial shifts
  • Ensure each member of the team follows SAFE Haven processes (spot-check suites for each member) and encourage responsibility
  • Ensure the safety of the team
  • Make sure all tasks are completed and all is in order before the team leaves
  • Encourage each member to take rubbish, washing, thin plastic, cardboard & tins home for recycling as they leave

Training: One training session & ongoing support as required

Skills & experience needed for the role

  • Good organisational skills
  • Common sense
  • Good communication skills including the ability to coach others in a non confrontational way
  • Confident, warm friendly manner with the ability to lead from the front
  • Willing & able to train new volunteers and monitor the team’s work

Day Manager Buddy

Reports To: Day Manager Hours: 2 to 5pm. Minimum one afternoon per week

Tasks could include:

  • Assist the Day Manager as required
  • Read the Day Manager manual to become familiar with processes and common issues
  • Answer the phone and take messages
  • Reply to straightforward emails
  • Check animal files are complete
  • Up-date and cross-check suite cards with cat status
  • Check & update feeding sheets with the Day Manager to ensure all cats are listed & correct
  • Check & update cleaning sheets with the Day Manager to ensure all cats are listed & in the correct order
  • Ensure there are enough copies of any paperwork used at SAFE Haven by making photocopies eg Medical sheets, sheets used in the adoption process etc
  • File paperwork appropriately & correctly label drawers
  • Help to feed the cats
  • Help with behaviour & socialisation
  • Make sure SAFE Haven is tidy at the end of the day.

Skills & experience required

  • Confident  speaking to the public and take messages with empathy and understanding
  • Willing to listen and learn from the Day Manager and to stick to SAFE guidelines 
  • Able to make clear notes of conversations
  • Good communication skills
  • Great organisation & administration skills
  • Multi-tasking skills
  • Willingness to learn how to work with unsocialised cats

Training to include: Shadowing the Day Manager & being mentored by them, assisting with daily procedures  in SAFE Haven, reading relevant parts of the Day Manager folder etc

Secretary SAFE

Reports to: The SAFE Committee Hours: Approx 4 hours per month

Main tasks

  • Attend committee meetings once a month to take minutes (currently every 2nd Sunday in the month between 4 & 6.30pm)
  • Compile minutes for submission to the committee within an acceptable timeframe (one week)
  • Attend and take minutes at the Annual General Meeting
  • Familiar with the SAFE constitution
  • Assist with the Annual Report
  • Update the membership database
  • Help with member communications

Skills & experience required

  • Effective communication skills
  • Able to write effectively & correctly
  • An eye for detail
  • Knowledge of SAFE
  • Good organisation skills
